Health and Safety / Disaster Prevention Activities

To create and accident-free, safe and comfortable work environment, the KYOCERA Document Solutions Group, in accordance with its Health and Safety Policy, is actively and continuously implementing comprehensive safety and health, as well as disaster activities.

Basic Policy for Occupational Health and Safety Management

We recognize that in order to realize the management rationale of the KYOCERA Document Solutions Group-"to provide opportunities for the material and intellectual growth of all our employees, and through our joint efforts, contribute to the advancement of society and humankind," it is essential to ensure that all employees are healthy, safe and secure at work. With the aim of fostering a corporate culture that puts safety first, we have defined Occupational Health and Safety Policies as shown below. In line with these Policies, we are vigorously implementing health and safety activities involving all employees, so as to prevent occupational injuries and illnesses.

Occupational Health and Safety Policies

  1. To maintain and improve the safety and health of employees, the applicable national laws and regulations, ordinances in regions where plants/offices are located and other requirements agreed upon shall be strictly observed through enhancement at all management level.
  2. To effectively promote occupational health and safety activities, a management organization shall be established, and the roles and responsibilities shall be clearly defined. At the same time, necessary and sufficient training shall be provided to all employees regarding the operation of the occupational health and safety management system.
  3. To define and assess occupational health and safety risk sources, a risk assessment shall be conducted, and health and safety objectives and targets shall be set and reviewed. At the same time, the occupational health and safety management system shall be established, implemented and continually improved.
  4. To create a safe and healthy work environment, health and safety activities shall be conducted with priority given to the items listed below. At the same time, efforts shall be made to ensure that all employees perform safe and correct work by using standardized procedure manuals, and to continually improve health and safety performance.
    • [1]Reduce risks by addressing "untolerable risks"
      • 1) Improve working methods, machinery and equipment, and workshops.
      • 2) Remind employees to take health and safety precautions during daily commuting or business travels.
    • [2]Promote fire and disaster prevention activities.
    • [3]Promote health maintenance and improvement activities and mental health care.
    • [4]Create a safe and comfortable work environment through Perfect 5S (Seiri, Seiton, Seiso, Seiketsu, Shitsuke) Promotion Activities.
  5. Efforts shall be made to ensure close cooperation with occupational health and safety-related agencies as well as active participation in local health and safety-related events.The "KYOCERA Document Solutions Group Occupational Health and Safety Policies" will be communicated to all employees and regular subcontractors as well as to the general public.

Activities Undertaken in Fiscal 2010

In accordance with the Occupational Health and Safety Policies, the following targets were set for fiscal 2010 and efforts were undertaken to achieve them.

(1) Fiscal 2010 Occupational Health and Safety Targets

1. Risk reduction
  • (1) Operations
    • (a) For unacceptable risks, complete improvement measures by the end of March 2010. However, if it is difficult, technically or economically, to complete all improvement measures in a single fiscal year, the said deadline may be extended to the end of March 2012.
    • (b) For the three items included in [hazard type]: "striking or being struck by an object," "being caught in or between machinery," and "hazardous substances," remind employees to take safety precautions and raise their safety awareness to prevent the occurrence of accidents.
    • (c) For the three items included in [probability of occurrence of harm]: "non-existence of KYT sheets (hazard prediction training sheets)," "KYT (hazard prediction training) not being conducted more than twice per week," and "not having received special education/training on work standards," implement improvement measures for all identified risks, including acceptable risks, by the end of March 2010.
  • (2) Machinery and equipment
    For unacceptable risks, implement improvement measures by the end of March 2010.
  • (3) Work
    For the following four items, implement improvement measures for all risks, including acceptable risks, by the end of March.
    • 1) Shelves and cabinets are not secured.
    • 2) There are cracks, chips, deformation, rust, etc., in the floors, ceilings, walls, doors, etc.
    • 3) Measures are not taken to prevent objects placed on the shelves from falling. (In rooms where people are always present, passages, etc.)
    • 4) Desktop computers (excluding those with liquid crystal displays) and other office automation equipment are not secured.
  • (4) Daily commuting/business trips, etc.
    To mitigate the following risks that may arise during daily commuting and business travels, implement awareness-raising activities to remind employees to take proper precautions.
    • (a) Daily commuting: "rushing/ hurrying," "not looking ahead, left and right carefully," "being lost in thought," "wet roads/walkways," "obstructed view"
    • (b) Going out on business: "rushing/ hurrying," "not looking ahead, left and right carefully," "narrow roads," "being lost in thought," "overspeeding"
    • (c) Business trips in Japan: "rushing/ hurrying," "bumpy bus/train rides," "insufficient checking"
    • (d) Overseas business trips: "poor security," "consumption of local tap water/uncooked food," "diarrhea"
2.Improvement of work environment
  • (1) Operations

3.Contribution to local communities
  • (1) Actively participate in such activities as "National Safety Week / National Occupational Health Week" and "National Fire Prevention Campaign."
  • (2) Support local occupational health and safety promotion activities through active participation.

(2) Fiscal 2010 Results

All planned activities defined in the "Fiscal 2010 Occupational Health and Safety Promotion Plan" for Kyocera Mita's five domestic business sites, which was developed in accordance with the OHSAS18001 system, were completed.

(3) Fiscal 2011 Occupational Health and Safety Objectives

In fiscal 2011, as part of our efforts to achieve zero occupational accidents, we plan to work on improving operations that are defined as unacceptable risks through risk assessments. In principle, we will implement hardware measures, including the installation of safety devices, to eliminate hazards and reduce risks.

Occupational Health and Safety Management System 'OHSAS18001'

In accordance with the KYOCERA Document Solutions Group Occupational Health and Safety Policy, we have introduced the Occupational Health and Safety Management System (OHSAS18001)*. In addition to the already OHSAS-certified domestic production bases (the Hirakata and Tamaki Plants), our non-production business sites-Kyocera Mita Headquarters, Tokyo R&D Center and KYOCERA Document Solutions Japan Corporation (a group company)-have also introduced the OHSAS18001 system and acquired Certification.

*OHSAS18001 Standard : This Standard was established by the British Standards Institution (BSI) in 1999, with the purpose of enabling organizations to manage risks relating to employee occupational safety and health, prevent hazards, and maintain a high level of overall safety. "OHSAS" stands for the Occupational Health and Safety Assessment Series.

Hirakata Plant Received the Osaka Labor Standards Association Chairman's Award.

Hirakata Plant Received the Osaka Labor Standards Association Chairman's Award.

On October 1, 2010, the 61st National Occupational Health Week / Osaka Healthy Working Environment Promotion Conference was held at the Osaka Dawn Center. At the Conference, the Hirakata Plant was awarded the Osaka Federation of Labor Standards Associations Chairman's Award (Outstanding Performance Award, Occupational Health Category). This award is presented to organizations that have made outstanding achievements in the improvement of occupational health and safety. The Hirakata Plant was awarded in recognition of its continuing record of zero lost-time accidents, and cooperation with the Federation of Labor Standards Associations (training for industrial physicians, etc.).

Development and Implementation of the Risk Improvement Plans

The KYOCERA Document Solutions Group pursues risk improvement efforts involving all employees. Such improvement efforts include risk assessments, development of improvement plans based on the results of the assessments, and implementation of the plans.

In fiscal 2010, improvement measures were taken for a total of 470 risks, including the risk of a person coming in contact with the forklift, the risk of someone walking outside being hit by an unexpectedly opened door, and the risk of developing lower back pain by carrying heavy objects. Appropriate improvement measures were implemented for all risks identified, resulting in improved workplace safety.

Future Plans

As in the past, we plan to continue to conduct regular risk assessments. Further, since all risks have not yet been identified, we will also work to improve our ability to identify risks-not only risks associated with normal operations, but also risks associated with inspection and maintenance, and trouble shooting.

We also plan to assess the risks identified in the hiyari-hatto campaign conducted in fiscal 2010, and to implement improvement measures for those risks according to the order of priority determined based on the results of risk assessments.

Shilong Plant's Workplace Safety Campaign

To accurately identify dangerous areas in the workplace, it is important to heighten each employee's awareness and sensitivity toward safety. Also, to prevent the occurrence of accidents, it is necessary to make improvements regarding the identified dangerous areas. In September 2010, the Shilong Plant conducted a one-month long Workplace Safety Check Campaign, in which the following activities were implemented to achieve the target of zero work-related injuries and accidents.

  1. Conducting a workplace safety check by each workplace (in groups and as individuals) to identify dangerous areas.
  2. Marking the identified dangerous areas to ensure that they can be easily recognized by anyone in the workplace.
  3. Making improvements to each marked dangerous area. It was ensured that the marking was not removed until the improvement work had been completed.

Perfect 5S Promotion Activities

The Kyocera Mita Group is implementing "Perfect 5S Promotion Activities" to ensure that 5S activities (Seiri: tidiness; Seiton: orderliness; Seiso: cleanliness; Seiketsu: standardization; Shitsuke: discipline) are performed to a perfect standard.

The true aim of the Perfect 5S Promotion Activities is not merely to keep the workplace clean, but to heighten each employee's sensitivity to noticing even the slightest problem or abnormality, thereby pursuing higher levels of product quality, operational efficiency and workplace safety.

We believe that by creating a state where everything-documents, equipment, tools, materials and products-is perfectly managed, the safe, efficient and smooth movement of people in the workplace is achieved, leading to improved product quality and operational efficiency.

The opaque glass of the door was replaced with a transparent glass pane and curbed mirrors were installed outside the door, so that the outside can be clearly seen from the inside. These improvements have not only enabled safe and smooth passage, but also lead to improved safety and efficiency.
